Protecting your data is a core part of how we build Hubnity, operated by FENS Trade FZ-LLC ("Hubnity", "we", "us", or "our"). This page summarizes the technical and organizational measures we use to keep the Services secure and reliable. It complements our Privacy Policy and Data Processing Agreement.

1. Data hosting and residency

Customer data is hosted on infrastructure located in the European Union (Germany), provided by IONOS, including object storage for files and screenshots. Hosting primary data within the EU supports the data residency expectations of our European customers.

2. Encryption

Data transmitted between you and the Services is encrypted in transit using industry-standard TLS. Stored data is protected with encryption at rest where supported by our infrastructure.

3. Network and infrastructure security

We use Cloudflare for content delivery, DNS, and protection against distributed denial-of-service (DDoS) attacks and common web threats. Our infrastructure is configured to limit exposure, and access to production systems is restricted to authorized personnel.

4. Access controls and authentication

We apply the principle of least privilege, granting personnel access only to what they need to operate and support the Services. The Services support email-and-password authentication as well as single sign-on with Google. You are responsible for managing access within your organization and for keeping credentials confidential.

5. Monitoring and logging

We monitor the health and performance of the Services and use error monitoring tooling to detect, diagnose, and resolve issues. Operational logs help us investigate incidents and maintain reliability.

6. Backups and reliability

We maintain regular backups and resilience measures designed to protect against data loss and to help restore the Services in the event of a disruption. No system can guarantee uninterrupted availability, but we work to minimize downtime and recover quickly.

7. Sub-processors and vendor management

We engage a limited set of trusted Sub-processors under contractual data protection and security obligations. Our current Sub-processors are listed on our Sub-processors page.

8. Incident response

We maintain procedures to detect, investigate, and respond to security incidents. If a personal data breach affects data we process on behalf of a customer, we will notify the affected customer without undue delay so they can meet their own obligations, as described in our Data Processing Agreement.

9. Your responsibilities

Security is a shared responsibility. To help keep your account safe, we recommend that you:

  • 1.use a strong, unique password and keep your credentials confidential;
  • 2.limit administrator access to people who need it;
  • 3.review your organization's members and roles regularly;
  • 4.notify us promptly if you suspect any unauthorized access.

10. Reporting a vulnerability

We welcome responsible disclosure from the security community. If you believe you have found a security vulnerability, please report it to us at info@hubnity.eu with enough detail to reproduce the issue, and give us a reasonable opportunity to investigate and remediate before public disclosure.
