Together with this Privacy Policy, our Terms of Service, Data Processing Agreement ("DPA"), Refund Policy, Spam Guidelines, and any other applicable agreements between Hubnity and the Customer, which may be updated from time to time, form the "Agreement." By accessing, downloading, registering, purchasing, or otherwise using the Services, you agree to this Agreement.
Please carefully review this Privacy Policy and all other applicable parts of the Agreement before using the Services. By accessing or creating an account, you acknowledge that you accept the Agreement and consent to our collection, processing, use, storage, disclosure, and transfer of your Personal Data as described here. If you do not agree with the full Agreement, you must not access or use the Services.

2. Applicability and eligibility
We process your Personal Data in order to operate our business and deliver our Services. By agreeing to the Terms, you confirm that you understand how and why your data is used. Payments are handled by third-party providers. We do not store full payment card details. These are processed by our Service Providers and are subject to their own privacy policies.
Task Information: We collect content entered into the Services, such as messages, attachments, or activity updates.
Correspondence Information: We may store messages, emails, and contact details when you communicate with us, subscribe to updates, or request support. These are used solely to respond or provide service-related communication.

Support Information: Information provided via support requests is used solely to assist you. Please avoid sharing sensitive data unnecessarily.

If you access Hubnity as an employee, your employer may have direct access to your data. If you are an independent contractor, the organization you work with may also access your data. Hubnity employees may access your data for purposes such as testing, improving the product, notifying you about updates, or fulfilling service obligations. Access to the information we have collected about you: We provide tools within the Services that allow you to access, update, correct, or delete your personal data. You may also contact us to review what information we hold about you, verify its accuracy, request changes, or withdraw consent. Please note that deleting or restricting data may limit or disable certain features of the Services.
Data retention: We retain personal data only for as long as necessary to fulfill the purposes described in this Policy, maintain an active account, or provide Services. We may also retain data to comply with legal obligations (such as tax or accounting requirements), resolve disputes, enforce agreements, or for other purposes described in this Policy. Do Not Track: We do not currently respond to "Do Not Track" signals from browsers or devices. Third parties may still collect information about your activity across different sites over time. 7. Data security
We take the protection of your personal data seriously. We implement reasonable and appropriate safeguards to protect your data from unauthorized access, loss, alteration, disclosure, or destruction, in line with industry standards. However, no system can be completely secure, and we cannot guarantee absolute protection of your data. Any transmission of data is done at your own risk.
You are also responsible for maintaining the security of your account. Your account is protected by a password, and you should keep it confidential, choose it carefully, and log out after use. You are responsible for all activity that occurs under your account. We may suspend or terminate access if we suspect unauthorized sharing of login credentials.
We also require our Service Providers to apply appropriate security measures to protect your data. Access is limited to authorized personnel who need it for legitimate business purposes. However, no method of transmission or storage is fully secure, and we cannot guarantee absolute security of your information.
8. Data Protection Responsibilities
When you act on behalf of a company or provide personal data of others, you are considered the data controller, while Hubnity acts as the data processor. As the controller, you are responsible for ensuring lawful processing of personal data and compliance with applicable privacy laws. You must also ensure appropriate agreements are in place with any data processors. Hubnity's Data Processing Agreement (DPA) sets out these obligations.
9. Data integrity
We process personal data only for purposes that are consistent with its original collection or your authorization. We take reasonable steps to ensure that the data we hold is accurate, complete, up to date, and suitable for its intended use.
Data hosting and residency: Customer data is hosted on infrastructure located in the European Union (Germany), provided by IONOS, including object storage for files and screenshots. Hosting primary data within the EU supports the data protection expectations of our European customers.
International data transfers: Privacy and data protection laws vary between countries. Your information may be processed or stored in any country where we or our Service Providers operate. When your data is transferred across borders, it may be subject to different legal protections than in your home country. We only transfer data where legally permitted and rely on appropriate safeguards, such as Standard Contractual Clauses, to ensure it remains protected. Hubnity remains responsible for data transferred to third parties acting on its behalf.
10. Multi-Factor Authentication (MFA)
In addition to the safeguards described under "Data security" above, where available you may enable Multi-Factor Authentication (MFA) to further protect your account. Organizations may also require MFA for all members of their workspace. You remain responsible for keeping your login credentials confidential and for securing access to your account.
11. Audit Logs and Account Activity Records
To maintain security, transparency, and accountability, Hubnity may record administrative and account-related activity. Such records may include:

- 2.security-related actions;
- 3.permission and role changes;
- 4.workspace administration actions;
- 5.account configuration changes;
- 6.API access events.
Audit logs may be retained for security, compliance, troubleshooting, and operational purposes.
12. Workplace Monitoring and Employer Responsibilities
Hubnity provides productivity and workforce management tools that may include time tracking, activity monitoring, screenshots, application and website usage tracking, and location services. Organizations using these features are solely responsible for informing employees and contractors about monitoring, obtaining any required consents, and complying with applicable employment and privacy laws in their jurisdiction.
Hubnity acts as a technology provider and processes this data on the organization's behalf; it does not determine how individual organizations implement workplace monitoring. Related obligations are set out in our Data Processing Agreement.
13. Artificial Intelligence and Automated Analysis
Hubnity may use artificial intelligence, machine learning, or automated analytical technologies to improve productivity insights, reporting, workflow recommendations, scheduling suggestions, and platform functionality.
Any automated recommendations or generated insights are intended to support decision-making and should not be the sole basis for employment, disciplinary, financial, or contractual decisions. Human review may be required before acting on certain AI-generated outputs.
14. Third-Party Integrations and APIs
Hubnity may offer integrations with third-party platforms, services, and applications. When you authorize an integration, Hubnity may exchange information with the connected service according to the permissions you or your organization grant. Examples may include payroll providers, accounting software, project management tools, communication platforms, cloud storage services, and customer relationship management systems.
Hubnity is not responsible for the privacy practices, security measures, or content of third-party services. Your use of those services is governed by their own terms and policies.
15. Security Incidents and Data Breach Notifications
Hubnity maintains procedures for identifying, investigating, managing, and responding to security incidents. In the event of a confirmed personal data breach that triggers notification obligations under applicable law, we will notify affected customers and authorities within legally required timeframes.
Such notifications may include a description of the incident, the categories of affected information, the potential impact, the corrective measures taken, and recommended actions where applicable.
16. Enterprise Compliance Commitment
Hubnity is committed to supporting customers in meeting applicable privacy, security, and compliance requirements. Depending on the services used, we may support compliance efforts relating to the General Data Protection Regulation (GDPR), the UK GDPR, the UAE Personal Data Protection Law (PDPL), applicable employment privacy regulations, and international data transfer requirements.
Organizations remain responsible for their own legal compliance obligations and the implementation of their internal privacy practices.
17. Transparency Commitment
Hubnity believes that productivity monitoring should be implemented responsibly, proportionately, and transparently. Our platform is designed to help organizations improve accountability, efficiency, project management, and operational visibility while respecting privacy and legal requirements. We encourage all customers to adopt fair and transparent monitoring policies and to communicate clearly with their teams about the use of productivity tracking features.
18. Children and data collection
Our Services are not intended for users under 18 years of age. We do not knowingly collect data from minors. If such data is identified, it will be deleted where required.
19. Enforcement
We regularly review our compliance with this Privacy Policy and applicable privacy frameworks. We encourage users to contact us with concerns so we can investigate and resolve issues.
If internal resolution is not successful, disputes may be handled through an independent third-party mechanism.
